    Personalize greetings in Outlook emails

    Automatically address recipients by name #

    If you want the recipient’s name to be automatically pulled from the To field into your email greeting, follow these steps:

    1. In your template, place the cursor where you want the recipient’s name to appear.

    2. On the template editor toolbar, select the The Insert macro button Insert macro button.

    3. Choose whether you want to insert the recipient’s first name, full name, or last name, and then select the corresponding option.

    4. The macro placeholder will appear in your template. Save the template.

    When you insert the template into an email, the add-in will automatically pull the recipient’s name from the To field and insert it into the message body replacing the macro placeholder.

    Auto-adjust a greeting for single and multiple recipients #

    If you’d like the greeting line to change automatically depending on whether your email has one or multiple recipients, do the following:

    1. In the template you’re creating or editing, place the cursor where the greeting line is to appear.

    2. On the template editor toolbar, select the The Insert macro button Insert macro button.

    3. Select Insert greeting.

    4. In the Greeting dialog, enter two versions of the greeting line: one for a single recipient and one for multiple recipients. Then select OK.

    5. The macro placeholder will be added to your template. Select the Save button.

    When you use the template, the add-in will automatically insert the appropriate greeting line, based on the number of recipients. Compare:

    • Single recipient

      A greeting line for one recipient
    • Multiple recipients

      A greeting line for multiple recipients
