    Outlook email template shortcuts

    A template shortcut is a short name for a template that starts with two hash signs (like ##hello1). You can use shortcuts as building blocks for Outlook email messages and other templates. You can also use them in datasets and even in profile or team properties.

    Why use template shortcuts? #

    Instead of repeating the same content across multiple templates, you can save it as a separate template, assign a shortcut, and use that shortcut wherever the content is needed.

    Suppose you often use this salutation:

    Hello InsertRecipientFirstName,
    I just wanted to reach out regarding your request.

    Rather than typing this into every template, you can create a separate template that contains only that text, create a shortcut like ##hello1, and include ##hello1 in any template where you want to reuse the salutation.

    When you insert such a template into an email, the shortcut will be replaced with the full text:

    Hello Joe,
    I just wanted to reach out regarding your request.

    You can also enter template shortcuts directly into the message body.

    ##hello1

    ##followup

    ##askreply

    Then, simply click the Handle shortcuts button at the bottom of the Shared Email Templates pane, and each shortcut will be replaced with the content of the corresponding template:

    Hello Joe,
    I just wanted to reach out regarding your request.
